Privacy notice
This notice explains how we use personal data collected through qlaas.co.uk and the qlaas console, under the UK GDPR and the Data Protection Act 2018. We don't sell personal data, and we don't use it for automated decision-making.
Who we are
qlaas is a trading name of [OWNER TO CONFIRM: registered company name], part of UIE Group. The controller of your personal data is [OWNER TO CONFIRM: registered company name], the business behind qlaas.co.uk. To contact us about your data, email hello@qlaas.co.uk or use the contact form.
What we collect
- Enquiries. What you enter in the contact form: name, work email, organisation, role, interest and message. With it we record the page you sent it from and your browser's user-agent string.
- Orders. What you enter when you build an order: name, work email, organisation, role, PO number, billing address, message, an optional Replay report reference, your configuration, the quote and your payment route. We also record the page source and user-agent, and, if you pay by card, the Stripe payment reference and whether the deposit has been paid. We email you a link to confirm your address and act on an order only once it is confirmed. Stripe collects your card details directly; we never see or store them.
- Saved Replay reports. If you choose to save a Replay audit: aggregate counts of what would have been accepted, held or declined (by rule, by machine and for the most frequent action and resource pairs), with suggested changes; the starter policy inferred from your log, which includes your machine IDs and, for each machine, up to 40 action names and 40 resource names (such as zones, doors and docks) taken from the log; and the contact details you give us with it. Never the raw log. We email you a link to confirm your address before we follow up.
- Visits. Cookieless, aggregate page views and performance figures. Our host processes IP addresses in request logs to run and secure the service, and we use one-way hashes of your IP address and email address briefly to limit repeated enquiries and orders; we don't store your IP address with your enquiry or order.
Why, and our lawful basis
- Replying to enquiries: our legitimate interests in answering business enquiries and following them up.
- Orders: steps you ask us to take before entering a contract, then performing it; and our legal obligation to keep accounting records.
- Contact about a saved Replay report: your consent, given by ticking the box when you save it and confirmed by clicking the link we email you. Until you confirm, we send nothing else. You can withdraw consent at any time.
- Measuring and securing the site: our legitimate interests in running a reliable, secure website.
Who processes it for us
- Supabase
- Database for enquiries, orders, saved Replay reports and rate-limit counters (keyed by one-way hashes, not raw addresses). Hosted in the EU (Ireland) region.
- Vercel
- Website hosting and cookieless visit and performance measurement.
- Stripe
- Card payments, only when you choose to pay a deposit by card. Stripe also acts as a controller for its own fraud-prevention and regulatory duties.
- Resend
- Sends our email: acknowledgements of your enquiries, the links that confirm your email address for saved Replay reports and orders, order and payment updates, one follow-up about a saved Replay report once you have confirmed your address, console sign-in codes and security emails, and notifications to our team.
How long we keep it
- Enquiries
- 24 months from our last contact with you
- Saved Replay reports
- Deleted automatically 180 days after they are saved
- Orders
- 6 years, for accounting and tax records
International transfers
Supabase stores our data in the EU (Ireland), which the UK recognises as adequate. Vercel, Stripe and Resend may process data in the United States. Where they do, the transfer is covered by the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or by the UK Extension to the EU-US Data Privacy Framework where the recipient is certified.
Your rights
You have the right to access your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time. To use any of these rights, email hello@qlaas.co.uk or use the contact form. We reply within one month.
If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk (opens in a new tab) or on 0303 123 1113. We'd appreciate the chance to put things right first.
Qlaas DMI privacy
This section covers hosted Qlaas DMI lines and the Verified Agent Lane. It adds to the privacy notice above; the service terms and refunds page sit beside it. A self-hosted line runs on your own server and we process nothing from it.
Two controllers
[OWNER TO CONFIRM: registered company name], trading as qlaas (ICO registration ZC210540), is the controller for your account, billing and for running the hosted service. The owner of a line is the controller for what their line collects from callers and agents: they set the policy, choose whether to record, and own the receipts. We process that data on the owner's instructions as their processor, under the service terms. If you called a line or sent an agent to one and want to use your rights, contact the line's owner first; if you cannot, contact us and we will pass it on or help.
What a line processes
- Owner account
- The name, email address and handle you give at checkout, your Mandate (the rules you set, which decide whether each request is Accepted, Held or Declined; in the protocol, ALLOW, STEP_UP and DENY) and your Stripe customer and subscription references. Never your card details, which Stripe collects directly.
- Callers
- What a caller says to the screening assistant at your door, including the reason they give for calling, as a transcript; the caller's display name if they enter one; and the technical details needed to connect the call. Audio is not kept unless you turn recording on for your line.
- Agent requests
- The operator and agent identity presented, the skill requested (such as leave a message or propose a meeting), the request body, and the answer your policy gave.
- Receipts
- A signed record of each decision: time, the rule that decided it, the outcome, who or what asked, and a hash chain to the previous receipt. Receipts hold the fact of a decision, not the call audio.
- Operators
- For the Verified Agent Lane: the operator's name, contact email, signing key and principal, and interaction counts for fair use.
Every screened call says so
A screened call starts with a short spoken and written statement that an automated assistant is taking the call for the owner, that the caller's words are transcribed for the owner, and that the owner can hear them. Where the owner has turned recording on, the statement says so. The owner must not remove it. An agent that connects to a line is told the same in the manifest and the first response, and an operator on the Verified Agent Lane must in turn say that it is an agent and name its principal.
Why, and our lawful basis
- Running your line and billing: performing our contract with you, and our legal obligation to keep accounting records.
- Screening callers and answering agents: the owner's legitimate interest in knowing who is calling and why before they pick up, and in steering machines onto a structured path; the caller is told at the start and can hang up. Where recording is on, the owner is responsible for any consent or notice the law where they or the caller are requires.
- Receipts: the owner's legitimate interest in an evidential record of what their line was asked and decided, and in meeting disclosure duties. Receipts are kept for that purpose only and are not used to profile callers.
- Security and fair use: our legitimate interests in running a reliable service and in detecting abuse of the Verified Agent Lane.
We do not sell personal data from any line, do not use caller or agent data to train models, and do not use it for automated decisions with legal or similar effects on callers. The screening answer is a routing step for the owner, who takes the call or not.
Who processes it for us
- Stripe
- Merchant of record for Qlaas DMI purchases: checkout, tax, receipts, subscription management and refunds. For these, Stripe is a controller in its own right under its own privacy policy.
- Resend
- Sends your set-up email with your handle and owner link, renewal and cancellation confirmations, and our replies.
- Line hosting
- Hosted lines run on a virtual private server we rent from IONOS in the UK or the EU, under dmi.qlaas.co.uk; receipts and transcripts are stored on that server's disk, not in a shared database.
- Anthropic
- Only if you turn on smart screening (powered by Claude) for your line: the caller's words are sent to Anthropic's API to decide the screening answer, and are not used by Anthropic to train models. Rules-based screening, the default, sends nothing off the line.
How long a hosted line keeps it
- Receipts
- Kept for as long as the line exists, including after it ends until it is deleted, so you can export them
- Caller transcripts and stated reasons
- Kept 90 days by default; the owner can choose a shorter or longer period, or to keep them until they delete them
- Caller audio
- Kept not kept by default; if the owner turns on recording, 30 days
- Agent requests
- Kept 90 days
- Owner and operator account
- Kept for the life of the subscription, then 6 years for accounting records
An owner can change these periods for their line, or delete a transcript or recording at any time. When a line ends we suspend it and its data stays on the server, so its owner can still export it. Deleting an ended line is not yet automatic: we delete it when its owner asks. When we delete a line we keep a copy for its owner to export for 30 days, then delete that too.
International transfers
Hosted lines run on a IONOS server in the UK or the EU, both of which the UK recognises as adequate. Stripe, Resend and, if an owner turns it on, Anthropic may process data in the United States under the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU-US Data Privacy Framework where the recipient is certified.
Young people
qlaas is for people aged 14 and over. When someone sets up an account or a line we ask for their birth month and year and their country, work out whether they are a teen (14 to 17) or an adult, and keep only that group and the country. We do not keep the birth month or year, and we keep nothing about anyone we cannot admit because they are too young. Teen lines have higher privacy by default: no listing, no contact from strangers, no non-essential analytics, no marketing, no profiling and no precise location, and these cannot be switched off. Purchases are made by an adult. See Age and young people and Staying safe. We will carry out a data protection impact assessment before opening sign-up to the public.
Callers' and agents' rights
If you called a line, you have the same rights set out above: access, correction, erasure, restriction, objection and portability. Ask the owner, whose contact details are on their door, or email hello@qlaas.co.uk or use the contact form and we will help. We reply within one month. You can complain to the ICO at any time.
Replay data handling
A self-serve Replay audit reads your CSV in your browser. The raw log is processed on your device and is never uploaded to us.
When the audit finishes, you choose whether to save the report. A saved report holds aggregate counts of what would have been accepted, held or declined (by rule, by machine and for the most frequent action and resource pairs), suggested changes, and the starter policy inferred from your log. That policy includes your machine IDs and, for each machine, up to 40 action names and 40 resource names from the log, such as zones, doors and docks. It never holds the raw rows.
If you save it, we email you a link to confirm your address; we don't follow up until you click it. Saved reports are deleted automatically 180 days after they are saved. If you don't save, nothing is kept.
If you ask us to run the audit for you, we agree with you how the export is sent, stored and deleted before you send anything, and we use it only to produce your report.
Website terms
By using this website you accept these terms. The site is information about qlaas, a pre-production product, and we may change it at any time.
Site Authority prices on this site are for businesses: they are in GBP, exclude VAT and are indicative. Qlaas DMI prices are the total price a consumer pays, including any VAT. Submitting an order is a request, not an accepted order: a contract forms only when both parties sign an order form. Qlaas DMI is the exception: a hosted line, the Verified Agent Lane and a Self-host Pro licence are bought at checkout under the Qlaas DMI terms, with cancellation and refunds as set out on the refunds page.
Nothing on this site is legal, regulatory or safety advice. The text, images, wordmark and brand are owned by UIE Group or its licensors; please don't reuse them without permission.
We aren't liable for loss arising from use of this website, except where the law doesn't allow that liability to be excluded. These terms are governed by the law of England and Wales.
